General Terms of Use & Participation
Read carefully the General Conditions of Participation mentioned below in organized tours of Galea Travel, which are in accordance with Community Directive 90/314.
The declaration of your participation in an organized excursion in any way means the simultaneous acceptance of the following General Conditions of Participation.
Office Responsibilities
To organize its travel, the office uses airlines and other transport companies, hotels, local travel agencies around the world and other entities over which it has no direct control. The office does not have its own planes, hotels or travel agencies to be held responsible for their proper operation or non-operation. Its role is purely mediating for the provision of services to its clients, therefore its responsibilities are only found in cases of failure to perform the services offered and if there were no important reasons, as well as in the case of organizational weaknesses. The office does not abuse the mitigating factors associated with its intermediary role and makes every effort to meet the expectations of its clients. However, it is neither possible nor fair to be held responsible for anomalies that it is unable to foresee or effectively control such as:
– Changes, delays or cancellations of scheduled routes of any kind. Estimated airline companies and departure times in the tour descriptions have been based on the scheduled / published itineraries in effect at the time the program was issued.
– Accidents, diseases or unpleasant organic effects from climatic conditions, inability to adapt to different time zones (jet lag), altitude, epidemics, food poisoning or insufficient cleanliness conditions.
– Any difficulties that may be caused by unforeseen situations such as adverse weather conditions, strikes, coups, wars, hijackings, fires, earthquakes, floods and any other necessity or force majeure situation.
– Damage, loss or theft of luggage, personal belongings, money or travel documents and any consequence of a criminal or other act. However, the office makes every effort and offers every possible service and assistance in dealing with such cases.
Hotels / Accommodations
All accommodation used by the office has the legal and valid operating license required by the competent authorities of the host country. Their selection is based on the criteria of their location and the services they offer in combination with the best possible price according to their category as stated in the description of each excursion. The rooms of most hotels around the world have been designed to accommodate two beds. Therefore triple rooms are actually doubles with an extra bed, where space will be limited. Some hotels accept a fourth bed to accommodate customers, but it goes without saying that space will be noticeably limited. Usually, rooms are delivered at 2:00 p.m. and is available to the tenants until 11:00 a.m. on the day of departure. The note in the service order of the type of room is made according to demand and since the hotel has different prices for each type of room. Otherwise, the hotel is entitled to give you room according to its occupancy at the time of your stay. In the event of a delay in your arrival at the hotel, after the day of your scheduled arrival and if you have not informed about it, the hotel has the right to allocate the rest of the booked period if requested. In in this case, you will be refunded the amount corresponding to the overnight stays you would have liked but the hotel did not give you. Drinks, unless expressly stated, are not included in the half board or full board price. We remind you to pay any personal bills (phone calls, drinks, etc.) before your departure from the hotel. Under no circumstances will the office accept to pay personal customer bills.
Customer Obligations
The basic obligation of those who participate in group trips is to attend the program events on time. The lack of consistency in addition to the other problems it creates gives the attendant the right to ignore the uninterested customer and the office to refuse any compensation for services not rendered. The participants in the organized trips of the office are also solely responsible for the timely securing and safekeeping of the necessary travel documents (passports, etc.) as well as for the authenticity of their declarations to the Greek or foreign monetary and customs authorities. In addition, the customer is obliged to complain in writing and within a period of ten days from the return of the excursion for any omissions and faulty execution thereof. The office reserves the right not to respond to letters of complaint sent after the above deadline.
Insurance
The office has concluded a Civil Professional Liability insurance policy that covers any customer claims arising from the non-execution or faulty execution of an organized trip (*) as well as covering in case of insolvency or bankruptcy the obligation to return the payments as well as the repatriation of the excursionists . A copy of the above insurance policy is delivered attached to the receipt of payment. In addition, for all participants in the organized excursions of the office, there is the possibility of optional additional travel insurance for life and personal accidents.
Seat Reservations
To be valid any seat reservation must be accompanied by a deposit equal to 40% of the total participation costs. Telephone or other type of reservations that are not confirmed by payment of the corresponding advance do not oblige the office to reserve seats. Reservations are made with the publication of the program and within the registration deadline set for each trip, which however does not oblige the office to secure a seat for the person concerned if the scheduled seats have been sold out in the meantime. The balance is paid in advance, no later than 10 days before the start of the trip. If this deadline is not met, the office reserves the right to sell the seats to another interested party.
Cancellations
To secure hotels and other necessary services, the agency prepays significant amounts several months before the trips it has planned and is bound by specific compensation obligations in case of partial or total cancellation. That is why it is in turn obliged to withhold the entire advance payment or to request additional payment in case of untimely cancellation. Any cancellation made within the last 15 days prior to the start of the trip is considered untimely unless otherwise stated in the excursion description. Cancellation fees for tour packages are charged as follows:
- For cancellations 45-30 days before departure, a cancellation fee of 30% of the total amount.
- For cancellations 29-21 days before departure, a cancellation fee of 70% of the total amount.
- For cancellations made less than 20 days before departure, a cancellation fee of 100% of the total amount will be charged.
It is particularly emphasized that during the high periods of Holidays, Easter, Summer, festive three days, carnival, Conferences, Sports, Artistic organizations and other similar movements, due to prepayment of fares, accommodation, tickets, etc. services, the cancellation fees regardless of the time of reservation or cancellation of seats, can reach to 100%.
Also, the customer who is unable to participate in the organized trip for which he has already paid an advance or full payment, can assign his reservation to another person who meets all the required conditions for the organized trip, after informing the office at least 5 working days before departure, unless otherwise stated on the specific trip. The customer who assigns and the customer who accepts his participation in the excursion are jointly and severally liable towards the office for the balance due as well as for any additional costs of this assignment.
Change or Cancelation of Program
Minimum required participation for all organized excursions is 10 people, unless otherwise stated in the description of the specific excursion. The office has the right to cancel any trip if the participation is deemed insufficient or for other reasons that in its judgment do not favor its realization. The agency must notify clients of the trip cancellation up to 7 days before the start of the trip. In this case the office’s obligations are limited to the return of the money it has collected. In addition, the office is committed to complying with the program of excursions as stated in the description of each trip. The office also has the right to make changes to the program as it deems appropriate in order to overcome technical problems or unforeseen difficulties. As long as the changes made to the described program have been satisfied in any way that is understandable to the client, the office is not bound by the description of the excursion program. These changes can be made before the trip begins and if they are so important as to alter its character, the participants are entitled to cancel their reservation and get back the money they paid, without any other claim. However, if changes are deemed necessary during the course of the trip, the participants are obliged to accept them. For Easter and Christmas departures, the program may be changed.
Prices
Όλες οι αναγραφόμενες τιμές υπολογίστηκαν με βάση τις συναλλαγματικές ισοτιμίες και τους αεροπορικούς και τους ακτοπλοϊκούς ναύλους που ίσχυαν την περίοδο έκδοσης του προγράμματος. Οι τιμές αυτές είναι δυνατόν να αυξηθούν απροειδοποίητα σε περίπτωση αλλαγής των ναύλων, ανατιμήσεως ξένων συναλλαγματικών μονάδων ή οποιασδήποτε ανατροπής των αρχικών κοστολογικών δεδομένων, όπως αύξηση του κόστους καυσίμων και ανατιμήσεις που το κράτος ήθελε επιβάλλει, μετά την έκδοση του προγράμματος. H αλλαγή της τιμής μπορεί να γίνει μέχρι και 20 ημέρες πριν από την έναρξη του ταξιδιού και δεν αποτελεί δικαιολογία για ακύρωση συμμετοχής. All prices listed were calculated based on exchange rates and airplane and ferry fares in effect at the time of program issuance. These prices may increase without notice in the event of a change in fares, revaluation of foreign exchange units or any reversal of the original cost data, such as an increase in fuel costs and revaluations that the government wanted to impose, after the program was issued. The price change can be made up to 20 days before the start of the trip and is not an excuse for cancellation of participation. The organized excursions of the office do not include airport taxes in their cost. For the prices of each excursion, see the attached price list.
Passports / Identity Cards
For all participants in the organized tours abroad, possession of a valid passport or identity card is required. Besides, the mentioned information only concerns holders of Greek passports. The validity of all personal travel documents (passport, identity card) is the responsibility of the traveler.
Children’s Discounts
Children 2-12 years old usually pay a reduced airfare depending on the destination and in many cases a reduced accommodation cost if they stay in the same room as their parents. Under the age of two years old, they pay only 10% of the air fare but are not entitled to a seat and meal on the plane or baggage transport. In many cases the office is able to further reduce the participation fees for children in consultation with their parents.
Luggage
Irrespective of the type of travel (air, sea or coach), the office undertakes the transport and pays for the transport of only one standard-sized suitcase weighing up to 20 kg for each customer, unless otherwise stated. In addition to the basic luggage, participants can carry on their travels a small hand luggage, the dimensions of which must not exceed 53x26x23 centimeters (length/height/width respectively).
Declarations of Participation
Each trip of this program has a specific deadline for registration. This deadline is linked to corresponding time commitments of the office towards the airline companies, hotels and other entities used to ensure the services provided for each trip. It is reasonable for these entities to be interested in the seats, rooms or other services we have reserved and even more reasonable for them to be damaged due to an untimely cancellation on our part if a trip does not take place. With these data, the participation deadline also determines the time limits in which we can cancel the corresponding trip without any financial impact at our expense. At the same time, it gives a concrete answer to the classic question “until when can I register” and is a decisive incentive to participate for procrastinators who run the risk of not finding a seat if they ignore the deadline. But also for us the participation deadline is positive because it contributes to the earliest “closing” of the planned seats thus ensuring the necessary time for better organizational preparation of each departure.
(*) Note: An organized trip, according to presidential decree 339, is a predetermined combination of at least two of the following elements, i.e. transportation, accommodation, other tourist services, not complementary to the transportation or accommodation that represents a significant part of the organized trip, as long as the provision in question exceeds the 24 hours or includes an overnight stay and is offered for sale at a total price.
